Medicines for Malaria Venture (MMV) is a leading product development partnership (PDP) in the field of antimalarial drug research and development. We are currently seeking a Coordinator to join our Drug Discovery team, for a 3 year-period. In this role, your primary responsibilities are to provide support as a personal assistant to the VP, Head of Drug Discovery, and as a Discovery coordinator to support the project teams supporting Drug Discovery Directors. The Discovery coordinator is expected to work closely alongside all Discovery team members. You will be responsible for PA support and scientific logistics relating to the VP, Head of Drug Discovery (50%) and scientific logistical and administrative support to Drug Discovery Directors (50%).Support to VP, Head of Drug Discovery
- Support daily work (i.e. managing calendar and meetings)
- Manage expense forms through MMV’s Eurecia, budget management through MMV’s Cost Allocation Tool (CAT) and travel requests
- Provide scientific administrative support under the mentorship of the VP, Head of Discovery
- Assist the VP, Head of Drug Discovery with any new requests for Business Development/ legal support
- Lead and manage the Discovery Team meetings, ensuring that agendas are circulated in advance, minutes are written and actions reviewed
- Manage Discovery budget update process and coordination of consultants
- Lead the organization of Discovery Scientific review meetings and compilation and finalization of all relevant material
- Liaise with other coordinators and officers within the MMV Science team to ensure efficient functioning of organization (align collaborative Discovery working, maximize close inter-department interactions, etc.)
- Manage and update the Drug Discovery site on MMV’s intranet
Support to Project teams under supervision of leading project director
- Co-ordinate and attend agreed meetings, book meeting rooms, ensuring that agendas are circulated in advance, minutes are written and actions reviewed
- Provide biological or chemical scientific input to project teams (i.e. evaluation of routine data, input on the setup and validation of assays, managing biological screening platforms and managing information and profiling of chemical series)
- Work with MMV data manager to create/update data upload templates
- Maintain an updated PINK folder for each project with archiving of agreed information
- Work in collaboration with the Director, MMVemerge to deliver an effective support of the MMVemerge projects and grant applications
- Assist with the compilation and finalization of all key project reports (ESAC reports, presentations, candidate selection documentation) when required
- Work in collaboration with the Director, Drug Discovery to deliver an effective launch and support of the next MMV Open Access boxes (liaising with partner organizations and communications to initiate and update the MMV website)
- Organize and ensure efficient delivery of Open Access box compounds to testing centers, requesters and follow-up (liaising with subcontractor responsible for dispatch of plates, tracking, timing, receipt and communication of data to teams)
Administrative support to the Director, Drug Discovery
- Manage expense forms through MMV’s Eurecia, budget management through MMV’s Cost Allocation Tool (CAT) and travel requests
- Assist the project director with any requests for Business Development or legal support
- Organize and ensure efficient delivery of any project compounds to testing centers and follow-up (managing/updating requests in the MMV Logistic Management Tool (LMT), communicating with all partners and ensuring the uploading of necessary data to Science Cloud®, MMV’s compound database)
- Assist with literature searching, preparation of bibliography and contribution to writing scientific articles as needed
- Take on other key roles or responsibilities as agreed with the VP, Head of Discovery or Director, Drug Discovery
Education and experience
- Educated to University level with a degree or major in science (biology, chemistry or a related natural or biological science)
- Two to three years’ experience in a multinational/ international environment
Technical skills required:
- Excellent command of the English language (oral and written)
- Expertise with all Microsoft applications
Behavioural skills required:
- Scientific expertise coupled with a real desire to be an effective administrator and support others
- Autonomous and proactive – able to work independently under minimal supervision and via virtual home office working
- Excellent organizational skills and time management
- Strong communication skills, both verbally and in writing
- Ability to co-ordinate and deliver multiple activities
- Cultural awareness and sensitivity – need to work with diverse international teams
- Flexibility and ability to handle frequent changes
